Business Meeting

June 10, 2010

President Joe VanZandt called the meeting to order at 7:02 p.m.

Gina Seitz led in prayer.

The minutes for the May business meeting were presented by Gina. Bernice Hefley made a motion to approve the minutes. Dale Corcoran seconded and the motion carried.

The financial report was presented by Joe (in Ada's absence). Gina made a motion to approve the report. Bill Finsterwald seconded. Motion carried.

There were no reports available for the following: worksheets, cataloged items, website hits and visitors.

OLD BUSINESS

Music Festial: ad book is almost ready to go to the printer, will be proofed by Maurita and Dutch, Maurita is in contact with Johnny Velasquez about the posters, and Tonya Finsterwald is helping to get the press releases to local newspapers.

Camping rates: $15.00 daily, $75.00 weekly, $275.00 monthly.

Watering Trough: no action

Tabor land trade: still in negotiation.

Weather net site: Joe spoke with Bill Ridgway. They should be ready to install the site around June 16th. All donation checks will be made to the OMTA. A check will then be written to Channel 7 for the one-time fee of $1,700.00.

Flag Pole: Joe has spoken with Gregg Clark about him and Dawson getting going on the pole for the Eagle Scout project. Hopefully, it will be ready for the festival.

KENNETH WYATT PAINTINGS; Signs are to be made prohibiting any reproduction of the works by Mr. Wyatt belonging to the OMTA. Joe spoke with Jeanetta about the DVD that is being made of the paintings so that post cards can be made to sell at the Museum.

RED RIVER WAR EXHIBIT: Joe talked to Bill Green about the progress of the exhibit. Bill stated that he had been asked to teach a class at WTAMU and that he had not been able to devote much time to our exhibit, therefore nothing has been finalized.

Melba Corcoran: Melba was with us for the first time since November due to illness. We were very glad to have her in the meeting. Joe stated that wages were owed to Melba from November for the time she worked.

2009 Tax Return: The tax return has been filed

NEW BUSINESS

A man from Kansas called to say that he had found a token from the Pendleton Hide Co. in Mobeetie when he was digging on the Cimarron River. He asked for $100.00 for the token. Melba stated that there are tokens on display in the Lodge Building. The board voted to not purchase the token.

School Throws: The Mobeetie school throws can be reordered at a 10% discount for mentioning Riddle and Company. Minimum order is 32 pieces at a cost of $620.00. Gina made a motion to reorder the throws. Bernice seconded the motion. Motion carried.

Alarm system: Joe spoke with both Brad at Windstream and Brian at First Alarm to get the alarm system fully functional. The board voted to expand the system as necessary.

Dale Corcoran made the motion to adjourn. Bill Finsterwald seconded. The meeting adjourned at 8:10 p.m.

Business Meeting

May 14, 2010

The meeting was called to order by President Joe VanZandt.

Louise Hogan led the group in opening prayer.

Gina presented the minutes for the April meeting. Dale made a motion to accept the minutes, seconded by Bill Finsterwald. Motion carried.

Joe presented the finance report (Ada was unable to attend the meeting.) After discussing the report, it was decided that under the income portion of the report it should read "Kenneth Wyatt paintings". This would be to alleviate any confusion should we ever be audited. Dutch made a motion to approve the report with changes. Maurita seconded the motion. Motion carried.

OFFICER'S REPORT:

Louise reported 23,830 hits on the website, averaging 794 hits daily. She also reported 80 visitors for the month. 70 from Texas and 10 from out-of-state.

Maurita reported that the worksheets and the cataloged items remained the same 24,583 and 44,905 respectively.

OLD BUSINESS

Hoe Down:

After much discussion, it was decided that the Hoe Down would be cancelled for this year. Some concerns were about having enough help and just general sense of unease about getting it together. All present agreed that we should look into getting it back for next year. It was also discussed that we should send a press release to local papers stating that the event had been cancelled. Gina said that she would take care of this and would let the people who were participating in the event know that it had been cancelled.

Flag Pole:

It had been discussed in an earlier meeting that Dawson Clark would like to work on the flag pole for his Eagle Scout project. George stated that he had people ready to work on the flag pole and had contacted people about using their equipment. Joe stated that we needed to allow Dawson time to do what he needed to do to complete his project.

Water Trough in Wheeler:

We discussed this and decided more information needed to be gathered about moving the trough.

NEW BUSINESS:

Joe presented to the board that we need a policy concerning the photographing of the Kenneth Wyatt painting on OMTA property. It would be in our best interest to protect our property. All present agreed.

Joe entertained a motion to prohibit any photographing of Kenneth Wyatt paintings on OMTA property. Bill Made the motion. Maurita seconded the motion. Motion carried.

Bill Ridgway had discussed with Joe the possibility of a Channel 7 Weather Net Station to be put on OMTA property. Bill said there would be a onetime cost of $1,700.00, but that there were many people willing to donate the money. What is needed from the museum is both a place to install the site and access to a computer that is within 1,000 feet of the site. The benefits of this to the OMTA are basically free advertisement and exposure to Mobeetie and to our facilities. George made the motion to allow Channel 7 to establish a Weather Net Site on museum property and to have access to a computer. This is contingent on the fact that there will be no expense to OMTA. Louise seconded the motion. Motion carried.

The dues for the Panhandle Tourism Marketing Council were presented by Joe. Gina made a motion to pay the $50.00 dues. Dutch seconded. Motion carried.

Joe reported that Mrs. Mabel Tabor had contacted him about the OMTA acquiring some land she owns. The land being considered is: Lots, 1, 2, 3 & 4 of Blk 32 and Lots 16, 17, 18, 19 and 20 of Blk 33. All lots are in Old Mobeetie. Maurita made a motion to allow Joe VanZandt to negotiate with Mrs. Tabor on the purchase/trade of the land. Louise seconded the motion. Motion carried.

Joe presented the IRS Form 990, Return of Organization Exempt from Income Tax, to the Board for review. After looking over and discussing the return, George made a motion to approve it as presented. Bill seconded the motion. Motion carried.

Bill asked about the status of the security monitoring system. Joe stated that we need to proceed with getting this taken care of.

Camping Fees:

It was decided that camping fees would be set at $15.00 daily, $75.00 weekly, and $275.00 monthly.

George made a motion to adjourn the meeting. Dale seconded. Motion carried. Meeting adjourned at 9:21.p.m.

Business Meeting

April 8, 2010

President Joe VanZandt called the meeting to order and led the prayer.

Joe spoke with Louise Hogan prior to the meeting to talk about some things that would be discussed and voted on. She voted by proxy on the things that will be mentioned below.

Joe read a letter of resignation from board member and secretary Tonya Finsterwald. He then entertained a motion to regretfully accept the resignation. Maurita Stribling made the motion, seconded by Dale Corcoran, motion carried.

Joe opened the floor for nominations for a board member to replace Tonya Finsterwald. Bernice Hefley nominated Gina Seitz. Maurita Stribling made a motion to elect Gina by acclamation. Motion carried.

Joe entertained a motion to elect a secretary for the board. Maurita made a motion to elect Gina Seitz by acclamation. The motion carried.

Minutes from the March meeting were presented. Corrections needed to be made to say that Gina Seitz would be working Wheeler for the ads for the Music Festival program. George Kilcrease made a motion to approve the minutes with correction. Bernice seconded the motion. Motion carried.

The treasurer's report was presented. Dale Corcoran made a motion to accept Maurita seconded. Motion carried.

Worksheets and cataloged items remained the same: 24,583 and 44,905, respectively.

65 visitors were reported with 27,364 hits on the website, averaging 882 daily.

Volunteer hours reported were 170.

OLD BUSINESS:

MUSIC FESTIVAL: ads are coming along very well. Gina has most of Wheeler done, Tria Godwin and Janie VanZandt are working Canadian and Maurita has done Mobeetie. Gina said that she had spoken with Don Brown about the contract and biography for band, Short Creek. These things should be to us soon.

HOEDOWN: Joe read a list of things from Tonya that need to be done or considered. It was decided that we would try to go forward with the event as planned. David Seitz reported that he had visited with Ralph Kooks, the man who donated the bow, arrow and quiver to the museum. Mr. Kooks was pleased to see these items still on display. He is also interested in having an exhibit at the Hoedown if possible.

RED RIVER WAR EXHIBIT:

Joe reported that Dr. Bill Greene came by and remeasured the exhibit room. Bill left drawings of some ideas he has. Bill stated that we should have 5 Indian tribes to sign-off on the plans. He also talked about a diorama of Ft Elliott and a model of Adobe Walls.

NEW BUSINESS:

Kay Anderson wants to give the Museum a watering trough located on her property in Wheeler. The trough is supposed to be the first one in Wheeler. It was agreed to be looked at and see what it would take to move it.

George made a motion to adjourn, seconded by Dale.
